The costs operators do not quote upfront
The quoted desk rate is rarely the full monthly cost, because GST, deposits, setup fees, meeting room overage and after-hours charges sit outside most serviced office proposals.
A serviced office proposal in Singapore usually quotes a monthly rate per desk and little else. The costs that arrive alongside it — GST, the deposit, any setup or onboarding fee, meeting room usage beyond the included allowance, after-hours air-conditioning, printing and parking — are frequently absent from the proposal and appear only on the first invoices.
None of this is concealed. It is simply not volunteered, because a proposal quoting a single clean figure competes better than one quoting six. The result is that occupiers budget on a number that was never the whole number.
Below are the items to establish before signing, and the questions that surface each of them.
Where the additional cost comes from
GST
Quoted rates are commonly exclusive of GST. Singapore's prevailing rate is 9 per cent, which on a meaningful requirement is a material addition to the monthly budget. Confirm on every proposal whether the figure quoted is inclusive or exclusive, and budget on the inclusive figure.
Deposit
Deposit quantum varies between operators and with the length of the commitment. Establish the number of months required, whether a bank guarantee is accepted in place of cash, and the conditions and timeline for its return at the end of the term.
Setup, onboarding and access charges
Some operators charge a one-off setup or onboarding fee covering access cards, network provisioning and signage. Others include it. Where charged, it is negotiable, particularly on a longer term, and it is one of the first items an operator will concede.
Meeting room overage
Where the desk rate includes a monthly meeting room credit, usage beyond the allowance is charged at the operator's published rate. This is usually the largest variable cost in a serviced office arrangement and the one most likely to exceed expectations in the first quarter.
After-hours air-conditioning
Air-conditioning is typically provided during stated business hours and charged by the hour outside them. For a team working late or across time zones this becomes recurring rather than occasional.
Renewal escalation
The most significant cost that never appears in a first-year proposal is the increase at renewal. Where the agreement is silent, the renewal is quoted at whatever the market supports at the time, and the practical alternative to accepting it is a full relocation.
The first-year cost of a serviced office is usually close to what the occupier expected. The second-year cost is where the surprise sits, because almost nobody negotiates the renewal position while they still have leverage.
Building a realistic monthly budget
Take the quoted desk rate and multiply by headcount. Add GST. Add a realistic monthly assumption for meeting room usage above the included allowance, based on how your team actually works rather than on how you expect to use the space. Add after-hours air-conditioning where relevant. Add printing, parking and any registered address charge. Then treat the deposit and any setup fee as a separate one-off cash requirement rather than folding them into the monthly figure.
The result is generally higher than the quoted rate, and the gap is wider for teams with heavy meeting room use, client-facing operations or work spanning multiple time zones.
We build this analysis as standard on every mandate, for every shortlisted proposal, and it is delivered to you at no cost, because the operator pays our fee on completion.
Comparing against a conventional lease?
Our Occupier Strategy and Solutions team advises across the full commercial property line — site selection, lease negotiation and portfolio management — so a flexible proposal can be assessed on a true occupancy cost basis against the alternative.
Frequently asked questions
What costs are not included in a serviced office quote?
GST, the deposit, any setup or onboarding fee, meeting room usage beyond the included allowance, after-hours air-conditioning, printing, parking and any registered address charge are commonly excluded from the quoted desk rate. The renewal increase is also almost never stated.
Is GST charged on serviced office fees in Singapore?
Serviced office charges are subject to GST, and quoted rates are commonly exclusive of it. Singapore's prevailing rate is 9 per cent. Confirm on each proposal whether the quoted figure includes GST and budget on the inclusive figure.
How much deposit does a serviced office require in Singapore?
Deposit requirements vary by operator and with the length of the commitment, and some operators accept a bank guarantee in place of cash. Establish the quantum, the form accepted and the conditions for return at the end of the term before signing.
Are setup fees negotiable?
Frequently, particularly on a longer commitment. A one-off setup or onboarding charge is generally among the first items an operator will waive in a competitive process, which is one reason to run proposals against each other rather than sequentially.
What is the biggest hidden cost in a serviced office?
Over a full term it is usually meeting room overage, because it is variable and easy to underestimate. Over multiple terms it is the renewal increase, which is rarely addressed in the original agreement and is the point at which occupiers have the least leverage.
How do I avoid a large increase at renewal?
Negotiate the renewal position at the outset, before signing, when the operator is still competing for the requirement. Seek a stated cap or a defined mechanism rather than silence. Where a renewal has already been proposed, it should be benchmarked against current market terms before it is accepted.
Can Knight Frank review a proposal I have already received?
Yes. We can identify what a proposal excludes, rebuild it into a full monthly cost and advise on which terms can be improved. This is delivered at no cost to you.
